To ensure seamless audio cues, maintain crowd energy, and support the overall flow of the event, please follow these core audio guidelines:
Silence Gaps Before Intro: Create a deliberate 3–5 second silence gap before triggering the emcee’s entrance music. This intentional silence alerts the room, draws attention to the stage, and signals that the show is
officially starting.Emcee Entrance Track: Have a high-energy, uplifting emcee intro track cued up and ready to play immediately following the silence gap, fading out smoothly once the emcee reaches the mic and begins speaking.
No Sudden Stops or Choppy Fades: Never cut audio abruptly. All music transitions—whether ending a background track, fading for an announcement, or switching genres—must use smooth 2-to-3-second crossfades or fade-outs.
Fanfares & Filler Tracks:
Play quick, triumphant fanfares (3–5 seconds) to introduce award presenters, key VIP speakers, and award recipients.
Keep light "walk-up" and "walk-off" audio ready to fill transition gaps as speakers move to and from the stage so there is zero dead air.
Mute for Critical Segments: Completely mute all background music during solemn or high-focus moments
(e.g., moments of silence, video presentations, solemn pledges, or key formal speeches)
unless a specific background track has been pre-approved.Event-Appropriate Curation:
Tailor the playlist tone specifically to the event profile
(e.g., sophisticated jazz/lo-fi for luxury corporate galas; upbeat pop/dance hits for team celebrations or product launches).Maintain appropriate volume levels so background music never overpowers networking or dinner conversation.
AV Booth Communication: If you need to step away from the sound desk for any reason
(e.g., a short restroom break), please inform the emcee or stage manager in advance so no audio cues are missed.
